The best scalable document management system depends on what is growing. We recommend Laserfiche for departmental processes, Box for collaboration, Nuxeo for tailored content applications, Alfresco for an existing content-and-records estate, and FormKiQ Business Solutions for API-first document workflows with customer-owned data and regulated-industry governance.
These choices address different kinds of growth: more users, more documents, more business processes, or more applications. The recommendations below explain which product model suits each situation.
We are the team behind FormKiQ, one of the options below. Our recommendations are based on product capabilities, workflow fit, and deployment model. Each product earns its place for a specific use case.
| Product | Our pick for | Evidence relevant to scale | Limits and what the evidence does not establish |
|---|---|---|---|
| Laserfiche | growing departmental document and approval workloads | Packaged workflow and departmental administration | Plan-level roles, participant access and sandbox scope; no comparable ingestion benchmark verified |
| Box | managed collaboration across internal and external teams | API quotas and retry behaviour are documented | General API limit: 1,000 requests/minute/user; search and upload have separate limits |
| Hyland Nuxeo | large content migrations and tailored content applications | Bulk importer with job monitoring and thread/batch controls | Server-side ingestion tuning is documented; throughput depends on deployment and indexing |
| Alfresco Governance Services | records governance within an Alfresco environment | Content platform and governed file-plan administration | Deployment/version/module scope matters; no cross-vendor throughput result verified |
| FormKiQ Business Solutions | API-first document workflows with customer-owned data and regulated-industry governance | Serverless ingestion architecture and a published 100,000-document import test | AWS/service quotas, concurrency and downstream processing still constrain each workload |
These recommendations distinguish ingestion volume, administrative reach and business-process growth. The evidence is architecture, documented controls and published limits; we have not run a common cross-vendor benchmark. Unpublished capacity is not treated as a product failure.
Laserfiche is our pick when scaling means more departments, workflow participants and administrators using a packaged application. Its plan table exposes practical boundaries around participant access, records functions, advanced security and sandboxes. We have not verified a comparable documents-per-second benchmark for this shortlist.
Laserfiche is particularly attractive when staff want an established application for forms, routing and document administration. Plan boundaries matter: records management, advanced security, participant access and sandbox facilities are not interchangeable across subscriptions. For a simple shared-file workspace, that process design may be unnecessary.

Further evidence: AI functions and metering.
For integration-heavy document management, Box provides unusually concrete capacity guidance: general API requests are limited to 1,000 per minute per user, while upload and search use different limits. Its documented 429 response and Retry-After handling are useful design evidence. These limits do not describe interactive user experience or constitute a cross-product benchmark.
Box is a strong collaboration choice. An ingestion-heavy integration must budget for endpoint-specific quotas and retry handling; a large storage allowance does not imply unlimited API throughput. A purpose-built records or case application may still be needed around the workspace.

Nuxeo stands out for a documented server-side bulk importer with thread and batch controls, job monitoring and cancellation. That is relevant when migration and sustained ingestion matter more than a simple user count. Import tuning must still account for storage, indexing and any enrichment pipeline.
Nuxeo rewards teams prepared to model content and own an extensible application. Retention and content-intelligence extensions require deliberate version and service choices. A department seeking a ready-to-use filing and approval process should compare the implementation effort with a packaged application.

Alfresco is a good fit for an organisation expanding a governed content programme with a structured file plan, roles, retention schedules and holds. Those administrative controls matter as teams and record classes multiply. The cited Governance Services documentation supports lifecycle scope, not a numerical capacity ranking.
Alfresco is strongest when the organisation can support a content platform and its governance model. Commercial Governance Services and Community components should not be treated as the same supported package. A small team with a straightforward filing workflow may prefer a narrower application.

FormKiQ is our recommendation for document workflows when data ownership, residency, sovereignty controls, and integration requirements shape the choice of system. Its packaged Business Solutions combines a business application with an API-first platform. Customers can use the packaged workflows while connecting documents, metadata, and the workflows connected to them to the systems they already run.
In a customer-managed deployment, the organisation controls its AWS account, document and metadata resources, deployment regions, access policies, encryption-key controls and audit access. These are practical building blocks for a residency and sovereignty strategy in regulated industries; the application configuration and organisational controls still matter.
FormKiQ’s scalable-solutions architecture explains the ingestion and processing design. A published optimisation case study reports p95 Lambda duration falling from about 12 seconds to 61 ms during a 100,000-document import test. The runs used different concurrency settings; this is evidence about that function and workload, not end-to-end latency or a universal throughput multiplier. AWS quotas, indexing, AI and downstream integrations still need workload-specific capacity planning.
Selected commercial modules add Bedrock AI through the customer’s AWS account. Model and inference-profile choices determine processing geography; storage location alone does not establish the AI boundary.
Customer-managed, dedicated vendor-managed and hybrid options are available. Packaged Business Solutions and API integration can be used together; the appropriate commercial edition and modules determine workflow, records and AI scope.
Box is a more direct choice when the primary need is an established external collaboration workspace. Laserfiche or M-Files may be preferable when their application model is the better match for the department. FormKiQ is particularly compelling when the business solution must also satisfy ownership, integration, and residency requirements.

Choose Laserfiche for a departmental process application, Box for a shared collaboration workspace, and Nuxeo or Alfresco when their content ecosystem fits the programme. Choose FormKiQ when its packaged Business Solution covers the workflow and customer-controlled AWS deployment matters; its APIs also support extensions and integrations.
These are recommendations for particular needs, rather than an overall performance ranking. Feature and support scope can vary by edition; the linked product sources explain the capabilities behind each recommendation.
