Document Search

DynamoDB's performance characteristics support fast metadata retrieval across document collections of any size, with search results available through both the FormKiQ Document API and the Document Console. For most document management programs, metadata search provides the primary retrieval capability — finding documents by classification attributes, status, date ranges, counterparty, or any other metadata attribute defined in your document model.

For more advanced search requirements, Classification Schemas define composite key structures that enable efficient multi-attribute queries — finding all documents that match a combination of attribute values in a single query without a full collection scan. Composite keys are the recommended approach for applications with complex, high-frequency search patterns across large document collections.

Composite keys are defined within Classification Schemas and are optimized for the specific attribute combinations your application queries most frequently. A grants program might define a composite key combining program year, funding category, and application status — enabling instant retrieval of all applications matching that combination without scanning the full collection. A contract program might define a composite key combining counterparty identifier, contract type, and jurisdiction — enabling fast retrieval of all contracts for a specific counterparty in a specific jurisdiction.

The composite key structure is built into the document's classification model from the point of ingestion, so search performance remains consistent as the collection grows rather than degrading with volume.

Basic Full-Text Document Search

FormKiQ includes basic full-text search capability across all editions, enabling search across document content and filenames in addition to metadata attributes.

Full-text search indexes document content extracted through FormKiQ's OCR pipeline — making scanned documents, image-based PDFs, and other non-text-native document formats searchable by content alongside text-native documents. Search coverage can be configured per document type — including or excluding document content from the full-text index where filename and metadata search alone meets the retrieval requirement.

For programs with more demanding full-text search requirements — large repositories, complex relevance tuning, faceted filtering, or high-frequency content search across diverse document types — the Enhanced Full-Text Search module provides a more capable search layer powered by Amazon OpenSearch.

Enhanced Full-Text Search operates across document content and metadata simultaneously, supporting complex queries, multi-field filtering, faceted navigation, and result ranking based on document attributes and relevance signals. For organizations with large archives, records programs, or high-frequency retrieval workflows, Enhanced Full-Text Search provides the discovery layer that makes those collections operationally useful at scale.

Search indexes are maintained within your AWS account — document content is never sent to an external search service, and the search infrastructure is subject to the same access controls, encryption, and audit model as the rest of your FormKiQ deployment.

KnowledgeBase — Natural Language Document Discovery

FormKiQ's KnowledgeBase module extends document discovery beyond keyword and metadata search to natural language query — allowing users to ask questions of the document collection and receive answers synthesized from the actual content of their documents, with source attribution linking every answer to the underlying records.

KnowledgeBase is powered by Amazon Bedrock and runs entirely within your AWS account. Users only receive answers drawn from documents they are authorized to access — FormKiQ's existing access control model applies to KnowledgeBase queries in the same way it applies to every other document operation. Inference region controls allow you to specify which geographic areas are used for model processing, supporting data residency and sovereignty requirements.

KnowledgeBase is particularly valuable for programs with large document collections where the information needed to answer a question may be distributed across multiple documents — policy and procedure programs, research and knowledge management, legal and compliance reference, and case preparation workflows where staff need to find and synthesize relevant information quickly without knowing exactly which document contains it.
